CANCELLATION POLICY

Effective Date: January 1, 2025  |  All bookings subject to these terms

 

  1. Overview

Under the Tent – Farmer Mama Dukes provides fresh, perishable food and beverage services for private events in Tallahassee, FL. Because all of our products — fruit cups, handcrafted lemonade, and fresh produce — are prepared specifically for your event using fresh ingredients, we operate under a strict but fair all-sales-final policy.

Once a booking is confirmed and a deposit is received, we immediately begin planning, sourcing ingredients, and reserving your date. These costs cannot be recovered, which is why our fees are non-refundable.

 

Note: We are a small, family-run local business. This policy exists because fresh food has a cost that cannot be undone. We appreciate your understanding and always aim to work with our clients whenever possible.

 

  1. Booking Window & Late Booking Fee

To ensure we can properly source, prepare, and deliver the highest quality fresh products for your event, we require a minimum of 30 days advance notice for all bookings.

Late bookings are not guaranteed. If you inquire with less than 30 days before your event, a late booking fee will be added to your quote. The fee amount will be communicated before you commit.

 

  1. Deposit & Payment Schedule

All bookings follow a two-payment structure:

All payments are processed exclusively through our secure payment link, which is sent to you after booking approval. We do not accept payment through any other platform.

 

Failure to pay the remaining balance within 1 week of booking may result in cancellation. You will receive one written reminder before any action is taken.

 

  1. All Fees Are Non-Refundable

Because all of our services involve fresh, perishable food and ingredients sourced and prepared specifically for your event, ALL PAYMENTS — including deposits and remaining balances — are non-refundable.

This applies regardless of the reason for cancellation, including but not limited to:

  • Change of mind or personal circumstances
  • Venue cancellation or venue-related issues
  • Guest count changes or event downsizing
  • Weather conditions (unless a government emergency is declared)
  • Failure to communicate cancellation within a reasonable timeframe

 

Fresh fruit, produce, and handcrafted beverages cannot be resold, repurposed, or returned once sourced and prepared for your specific event. Every dollar paid goes directly toward your order — ingredients, preparation time, equipment, and logistics.

 

  1. Exceptions — If the Issue Is On Our End

We hold ourselves to the highest standard. If a problem originates on our end, we will make it right. The following resolutions will be offered:

50% refund eligibility: A half refund is only available if the full contract balance has been paid AND the issue is caused by Under the Tent. Deposit-only payments are not eligible for a refund under any client-initiated cancellation.

 

  1. Rescheduling Policy

While all fees are non-refundable, we are always willing to discuss rescheduling as an alternative, subject to our availability.

  • Reschedule requests must be made at least 14 days before your event date to be considered
  • Your deposit will be applied toward the new date — it does not need to be repaid
  • Rescheduling is allowed one time only per booking
  • A second reschedule is treated as a cancellation — all fees remain due with no credit
  • The new event date must be booked within 90 days of the original date or the deposit is forfeited
  • Reschedules with less than 14 days notice are at our discretion and may include a rescheduling fee

 

  1. How to Submit a Cancellation or Reschedule

All cancellation and reschedule requests MUST be submitted in writing. Verbal requests are not accepted as official notice.

  • For reschedules, include your preferred new date(s)
  • Your cancellation date is the date your written notice is received — not sent
  • We will confirm receipt within 24 hours

BOOKING & AVAILABILITY

Q1:  How far in advance do I need to book?

We require a minimum of 30 days advance notice for all bookings. This gives us enough time to source fresh ingredients and prepare everything to our quality standard. If your event is less than 30 days away, a late booking fee will apply.

 

Q2:  How do I book Under the Tent for my event?

Fill out our event inquiry form with all of your event details. We will review your request and send you a custom quote within 24 hours. Once you approve the quote, we send your contract and payment link. Your date is officially secured once your deposit and signed contract are received.

 

Q3:  How will I know my date is officially booked?

You will receive a booking confirmation email as soon as your deposit is received and your signed contract is on file. Until both are submitted, your date is not reserved — we book on a first-come, first-served basis.

 

Q4:  Do you serve areas outside of Tallahassee?

We are based in Tallahassee, FL and primarily serve the surrounding area. Travel fees may apply for events outside of Tallahassee. Include your full venue address on the inquiry form and we will let you know if a travel fee applies.

 

Q5:  Can I make changes to my order after booking?

Yes, but all changes must be requested in writing as early as possible. Changes to guest count, service type, or setup details may affect your final quote. We cannot guarantee changes requested within 7 days of your event.

 

Q6:  What events do you cater?

We serve birthday parties, baby showers, bridal showers, weddings, graduation parties, quinceañeras, corporate events, church events, school events, holiday parties, pop-ups, and more.

 

 

PAYMENT & PRICING

Q7:  How do I pay for my booking?

All payments are processed exclusively through our secure payment link — we send it to you after reviewing and approving your inquiry. We do not accept payment through Venmo, Cash App, Zelle, or any other platform. Only the link we provide is the approved payment method.

 

Q8:  When is my deposit due?

Your deposit is due at the time of booking — when you sign your contract. The deposit amount will be clearly listed in your custom quote before you commit. Your date is not reserved until the deposit is paid.

 

Q9:  When is the remaining balance due?

Your remaining balance is due one week after your booking is confirmed. You will receive a reminder email with your secure payment link. Failure to pay by the due date may result in cancellation of your booking.

 

Q10:  Are there any extra fees I should know about?

If you book with less than 30 days notice, a late booking fee applies. A travel fee may also apply for events outside Tallahassee. All fees are clearly stated in your custom quote before you agree to anything — no surprise charges ever.

 

Q11:  Do you offer payment plans?

Our standard structure is a deposit at booking and the remaining balance due one week later. We do not currently offer extended payment plans beyond this schedule.

 

 

OUR SERVICES

Q12:  What services do you offer?

We offer four services: Fruit cups (fresh seasonal fruit in small, large, or party tray sizes with custom toppings), Handcrafted lemonade (classic, strawberry, mango, watermelon, and more), the Full package (both services together with themed table setup), and a Produce stand (fresh whole fruits and vegetables for events and pop-ups).

 

Q13:  Can I get both fruit cups and lemonade?

Absolutely! Our full package includes both fruit cups and lemonade, fully coordinated with your event theme and colors. It is our most popular option for private events.

 

Q14:  Do you do full table setup with decorations?

Yes! When you select the full table setup with props option on the inquiry form, we set up a beautifully decorated display that matches your event theme, color scheme, and aesthetic. Just tell us your theme and colors and we will handle everything.

 

Q15:  Can you stay and serve guests during the event?

Yes — you can choose between self-serve (we set up and leave items for guests to help themselves) or full onsite server (we stay for the entire event and personally serve every guest). Select your preference on the inquiry form.

 

Q16:  Do you handle setup and takedown?

Yes! Both setup and takedown can be included in your booking. You select these options on the inquiry form. We arrive at the agreed time before your event, get everything ready, and break it all down at the end.

 

Q17:  Can you accommodate food allergies?

Yes — the inquiry form has a dedicated section for dietary restrictions, allergies, and items to exclude. Please be as specific as possible so we can keep your guests safe. We take allergies seriously.

 

Q18:  What toppings do you offer for fruit cups?

We offer Tajín, Chamoy, chili lime, honey drizzle, and more. Include your topping preferences on the inquiry form and we will take care of it. Toppings can be added on top or served on the side.

 

Q19:  What is the produce stand service?

Our produce stand offers fresh whole fruits and vegetables for events like farmers markets, community pop-ups, corporate gatherings, and private parties. Select the produce items on the inquiry form and we will bring a fresh, beautiful display to your event.

 

 

CANCELLATION & POLICIES

Q20:  Are your fees refundable if I cancel?

All fees are non-refundable. Because we work with fresh, perishable ingredients sourced and prepared specifically for your event, we cannot recover those costs once a booking is confirmed. This applies to both the deposit and remaining balance, regardless of the reason for cancellation.

 

Q21:  Can I reschedule my event?

Yes — rescheduling is allowed one time per booking with at least 14 days advance notice. Your deposit transfers to the new date and does not need to be repaid. The new date must be rebooked within 90 days of the original. A second reschedule is treated as a cancellation.

 

Q22:  What if something goes wrong on your end?

If an issue is caused by us — a provider emergency, quality problem, or failure to deliver as contracted — we will offer a complimentary reschedule or a 50% refund if the full balance was paid. If we must cancel entirely, a full refund of all payments will be issued within 5 business days.

 

Q23:  What if weather affects my outdoor event?

Weather-related cancellations on the client side are subject to our standard non-refundable policy. However, in the case of a government-declared emergency, we will offer a full refund or complimentary reschedule.

 

Q24:  How do I submit a cancellation or reschedule request?

All requests must be submitted in writing via email to [YOUR EMAIL]. Include your full name, event date, and event type. Verbal requests are not accepted as official notice. We will confirm receipt within 24 hours.

 

 

EVENT DAY

Q25:  What time will you arrive to set up?

Your setup arrival time is agreed upon during the booking process and clearly listed on your contract. We will also confirm it in the day-before reminder email sent the evening before your event. Please ensure the setup area and venue access are ready at that time.

 

Q26:  What does the client need to provide on event day?

On the inquiry form you will tell us what your venue provides — a table, power access, or water access. If none of those are available, we bring everything we need. Just make sure the setup area is cleared and accessible when we arrive.

 

Q27:  How do I contact you on event day?

Your day-before reminder email will include our direct phone number for event-day communication. We check messages every morning before events. For anything urgent, a call or text is the fastest way to reach us.

 

Q28:  Will you clean up after the event?

If you selected takedown by provider on the inquiry form, yes — we break down and clean up our entire setup at the end of your event. If you opted to handle takedown yourself, we will make sure everything is organized and easy to manage before we leave.

 

Q29:  What if my guest count changes before the event?

Contact us at least one week before the event. A significant increase may require a quote adjustment. We cannot guarantee additional quantities with less than 7 days notice — communicate early!

Delivery & Service Policy

Because Under the Tent LLC operates through in-person markets, events, and catering engagements, all deliveries and service fulfillment are coordinated directly with customers.

2. Delivery Scheduling

  • Delivery and setup times are scheduled in advance and confirmed at the time of booking
  • Delays may occur due to traffic, weather, or unforeseen circumstances
  • We will make reasonable efforts to communicate any delays promptly

3. Customer Responsibility Upon Delivery

  • Once delivery or service is completed, the customer assumes responsibility for proper storage of all items
  • Refrigeration is required for perishable items including cut fruit and fresh-prepared beverages
  • We are not responsible for quality changes due to delays in consumption or improper storage after delivery

4. Perishable Product Notice

Fresh products including lemonade, fruit cups, and cut/whole produce are perishable and must be:

  • Consumed within a reasonable time after delivery or service
  • Refrigerated immediately if not consumed at the point of service

5. Incorrect or Incomplete Information

We are not responsible for failed or delayed deliveries resulting from incorrect venue addresses, incomplete contact details, or last-minute booking changes.

Refund & Return Policy

Due to the perishable nature of our products, all sales are generally final. We stand behind our quality and will work with you if something goes wrong.

2. Satisfaction & Refund Eligibility

If you are not satisfied, please contact us within 24 hours of delivery or service. Refunds or replacements may be issued when:

Claims must include your order or booking reference and, where possible, photos of the product and packaging.

3. Damaged or Incorrect Orders

5. Catering Agreements

  • Catering services require a signed confirmation and deposit to reserve your date
  • Final balances must be paid prior to service unless otherwise agreed in writing
